POSITION VACANCY ANNOUNCEMENT - R00086635

Work Location: The LSU AgCenter is a statewide organization with offices in every parish of Louisiana.  The administrative headquarters which includes the Management Operations Unit is located on the Louisiana State University, Baton Rouge Campus.  The Management Operations main office is located within the John S Sullivan Livestock Show Office at Parker Coliseum.

 

Position Description:  This positions primary role is to manage all accounting and budgeting functions for the LSU AgCenter Management Operations Unit.  The Management Operations unit is unique in the LSU AgCenter, it serves in the support function for statewide Livestock/Poultry/Rabbit/Horse events, motor vehicle reservations/purchases/repairs, building services/rentals/maintenance/security, mail center services, statewide inventory control and commercial mail system. 

 

75 % Perform accounting functions for Management Operations Unit State, Federal, and Foundation accounts which total in excess of one million dollars annually.  Reconcile budget ledgers monthly providing unit head quarterly reports.   Generates budget projection reports, Track spending, and makes recommendations to maximize unit efficiency.  Auditing and approval of expense reports to ensure compliance with AgCenter policies. Evaluate future income and expenditures to develop future budgets.  Generate and process contracts for facilities, judges, and other support services.  Perform duties associated with developing, managing, and reconciling special event accounting/budgeting, specifically but not limited to Livestock, Horse, and Rabbit State Shows.  Perform accounting functions related to Parker Coliseum Complex facilities (Parker Coliseum, Nelson Memorial Building, Mini Farm Building, Livestock Barn, and Knapp Hall reservations, rentals, billing, and maintenance functions.  Collect and record all State of Louisiana daily vehicles usage logs (MV3s) logging data into the state vehicle records program (AMP); the Mangement Operations unit has 28 state vehicles currently in the fleet.  Use MV3 date to reconcile Fleet Fuel cards/LaCarte purchases by fleet users.  Perform duties related to processing and monitoring maintenance contracts, operating services, and vehicles acquisition. 

Ensure compliance with the fiscal year end closeout process by ensuring that all payments and accruals are processed and encumbrances are liquidated with the appropriate fiscal year. 

 

5% Learn Workday ERP to accomplish work.  Stay current on LSU AgCenter accounting processes and policies.

 

15% serve as Property/Equipment manager for unit.  Stay current on State Property Management policy and perform inventory, inspection, and documentation as needed.  Would include space inventory for all Management Operation Unit buildings and/or facilities.

 

10% supervise two Civil Service Management Operations employee’s (Administrative Coordinator 3).  Administrative Coordinator 3 employees are responsible for Publication inventory, online publication store, mail room, and other Knapp Hall/Louisiana Cooperative Extension Service support functions.   Supervise student workers who primarily serve as receptionist and are available to assist in any unit related duties as assigned.

 

Applicant must maintain professional competence in accounting and LSU AgCenter policy.  Coordination and collaboration with LSU AgCenter faculty and staff is essential.  Applicant will be expected to perform other task within the unit as assigned by supervisor.

 

Qualification Requirements: A baccalaureate degree in accounting or closely related field from an accredited College or University is required and minimum of one year experience.  The incumbent must have excellent interpersonal, administrative, and organizational skills with strong computer skills.  The incumbent should have a working knowledge of Workday and Excel.  It is required that the candidate demonstrate effective communication (verbal and written) skills with a variety of audiences.

 

Salary and Benefits:  Salary will be commensurate with education and experience. The LSU AgCenter has an attractive benefits package with a wide variety of benefit options.
